Team Assistant (Mozambique Pipeline Operations)

Brief Description / Job Objective
Highly experienced professional in facilities and administration, responsible for the complete operational management
of the ROMPCO Depot facilities in Matola, as well as supporting all pipeline operations
in Mozambique. The role ensures continuous availability, compliance and operational excellence
in facilities services, service contracts, utilities, administrative functions and supplier management.
Acts as a liaison between corporate functions, local suppliers and cross-border teams, ensuring effective execution of daily operations and strategic projects.
Recruitment Description / Key Responsibilities
Facilities Operations Management
Oversee daily operations of ROMPCO facilities in Matola, ensuring full functionality, safety and compliance with Sasol standards;
Manage facility utilities, including electricity, water, landlines and fees, ensuring
continuous availability and timely resolution of faults;Coordinate all facility maintenance and improvement activities, such as plumbing, electrical, electronic systems, painting, civil works and septic tank maintenance;
Ensure availability and operation of backup systems (power generators and water supply);
Liaise with Information Management (IM) area to resolve network failures and printer
breakdowns.
Contract and Supplier Management
Act as contractual responsible for several critical facility services, including security, cleaning, gardening, maintenance of firefighting equipment, generator maintenance, air conditioning maintenance, office supplies and consumables, groceries, drinking water supply, hygiene services, furniture, equipment, and water supply by tanker truck;
Prepare detailed scope of work (SoW) descriptions for all contracts, maintenance needs, repairs,
improvements and projects;Ensure suppliers conduct Toolbox Talks and Task Risk Assessments (TRA) before work execution, in compliance with SHE requirements.
Procurement, Financial Control and Compliance
Initiate and manage Procure-to-Pay (PtP) processes, including purchase requisitions (PRs) and goods receipt notes, tracking supplier payment cycles;
Ensure timely payment of all facility suppliers, in coordination with Accounts Payable and Finance areas;
Manage petty cash according to governance standards, including withdrawals, reconciliations, and SAP records (Meticais, ZAR, USD);
Conduct audits of expense and travel requests before approval via SiningHub;
Administer asset optimization and disposal according to SCM procedures.
Administrative Support, Governance and Coordination
Manage communication (English and Portuguese) for contracts, policies, procedures, technical documents, and supplier interaction;
Organize itineraries, meetings, events, training, and conference room logistics for internal and external stakeholders;
Train team members in using the Concur system for international travel and conducting EBBS quality observations in Enablon;
Manage the Senior Manager and Area Manager's schedule.
Record all travel costs of the Pipeline Operations Teams in Mozambique.
Minimum requirements:
Bachelor's degree in Human Resources, Business Administration, or a related field;
At least 2 (two) years of experience;
Good knowledge of Portuguese and English;
Strong focus on governance and compliance;
Advanced ability to manage contracts and suppliers, as well as facilities and utilities management;
Mozambican nationality.
