The Administrative Assistant acts as the operational backbone of the Administration. Your primary responsibility is to provide excellent administrative and operational support, transforming routine tasks into agile and structured processes. Main Responsibilities

Your daily tasks will be challenging and varied, including:

  • Strategic Agenda Management: Monitor and coordinate Administrators' commitments, optimizing time and ensuring logistical preparation for each meeting.
  • Meeting Preparation and Logistics: Organize and prepare meetings, trips and service missions, from reserving rooms and equipment to coordinating materials and participants.
  • Correspondence Management: Efficiently filter, organize and route all physical and electronic correspondence, ensuring that critical information reaches the right hands at the right time.
  • High-Level Document Creation: Write, format and organize essential administrative documents, including meeting minutes, memos, executive reports and impactful presentations.
  • Systematic Digital and Physical Archive: Implement and maintain physical and digital archive systems that ensure the integrity, accessibility and security of all institutional information.
  • Institutional Service: Represent the Administration in serving internal and external partners, with impeccable professionalism and a focus on resolving issues.
  • Process Monitoring: Monitor and follow-up on ongoing administrative processes, ensuring compliance with deadlines and resolution of pending issues.
  • Integrated Logistics Support: Provide all types of logistical support to the Administration, facilitating its day-to-day operations.

Mandatory and Desirable Requirements

  • Academic Training: Degree in Administration, Management, Executive Secretariat, Public Relations, Law, Economics or related areas. Candidates with proven experience but without a degree will also be considered.
  • Proven Experience: Minimum of 3 years of experience in administrative assistance or executive secretarial roles, demonstrating a history of efficiency and reliability.
  • Excellence in Organization: High organizational capacity, priority management and multifunctionality, maintaining calm and efficiency under pressure.
  • Impeccable Communication: Excellent oral and written communication skills, both in internal environments and in high-level external interactions.
  • Technological Mastery: Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook and Teams) as essential day-to-day tools.
  • Documentary Skills: Proven ability to prepare and format minutes, memos, presentations and reports with professional quality.
  • Ethics and Confidentiality: High sense of confidentiality, ethics and professionalism, understanding the sensitivity of the information you will deal with.
  • Interpersonal Relationships: Good interpersonal skills, ease in building contact networks and working collaboratively.
  • Linguistic Fluency: Fluency, oral and written, in Portuguese and English, essential for clear communication in an international environment.
