The Impact and Core Responsibilities of the Role
As Head of the General Secretariat, you will be the guardian of operational efficiency and institutional image. Your responsibilities range from team management to direct support to senior management, ensuring that every detail is executed perfectly.
- Leadership and Coordination: Supervise, motivate and coordinate the entire General Secretariat, Reception and Office team, defining clear goals and promoting a collaborative and results-oriented work environment.
- Elite Executive Support: Ensure impeccable administrative support to the Executive Committee, anticipating needs and managing their agendas, travel and communications with maximum efficiency.
- Strategic Meeting Management: Organize and prepare all logistics for executive meetings, from preparing agendas and minutes to critical support documentation for decision making.
- Advanced Document Management: Implement and manage a robust document management system, ensuring the correct classification, digital archiving and traceability of all institutional information. It will actively promote digitalization and process optimization for greater efficiency.
- Institutional Contact Points: Ensure high standards of service to customers, external partners and visitors, representing the company's values with professionalism and courtesy.
- Governance and Compliance: Ensure the absolute confidentiality of institutional information, support corporate governance processes and actively collaborate in internal and external audits, ensuring the integrity of records.
The Profile We Are Looking For: Experience, Skills and Talent
To stand out in this role, we need someone with a multidisciplinary profile, combining solid technical skills with excellent interpersonal skills. We are looking for a natural leader, organized and with a strong sense of responsibility.
Fundamental Requirements:
- Degree in Management, Law, Executive Administration, Communication or a directly related area.
- Minimum of 5 years of proven experience in Executive Secretariat roles or direct support to senior management.
- Minimum experience of 2 years in coordinating administrative or secretarial teams.
- Advanced command of Microsoft Office (Word, Excel, PowerPoint and Outlook).
- Solid knowledge of document management systems and digitization processes.
- Excellent oral and written communication skills in Portuguese and English.
