About ASBIM

ASBIM (Association Salve Bio Moz) is a civil society organisation based on Rua do Ibo, in Pemba. It has been active in the region since 2019 and is registered at the Pemba Civil Registry, in 2021. It works on social and humanitarian programmes daily — from protecting people in vulnerable situations to direct support for families and communities.

It is a team that is in the field in Pemba and in the region's communities. It is in this behind-the-scenes support to the field work — organising, documenting and tracking the organisation's activity — that good administrative support makes the difference.

Who we are looking for

We are looking for someone with the composure for a front-of-house routine, an eye for detail, and confidence in what they write. It is a central support role: a good part of the correspondence, the archives and the information the ASBIM produces every day passes through here. If you like to keep the house in order and to do things properly, this is a good fit for you.

Someone with sensitivity to gender, inclusion and humanitarian assistance is also valued — that is the kind of work ASBIM does in Pemba.

What you will do day to day

• Keep the files and records — physical and digital — organised, up to date and easy to find.
• Handle the correspondence, official letters and memoranda: prepare, register and route each one to the right person.
• Help prepare reports, meeting minutes and attendance lists.
• Receive visitors, answer the phone and reply to emails.
• Help put meetings, trainings and workshops in place.
• Look after office supplies, equipment and the other administrative resources.
• Track what comes in and what goes out so nothing gets lost.
• Support logistics — for example, arranging travel, transport and accommodation when needed.
• Collect, sort and systematise the information the organisation produces.
• Work together with the departments and project teams so tasks run smoothly.
• Treat documents and information with confidentiality, integrity and security.
