In Mozambique, the country office sustains the organization's local operation; this role is the daily anchor for that operation, from the first contact at the door to travel and meeting logistics.

Who we are looking for

We are looking for someone with a knack for front-office duties: welcoming visitors, answering calls, keeping the reception tidy, and coordinating meeting and travel logistics. The candidate must be organized, detail-oriented, and comfortable working in diverse and cross-cultural environments. The position has no supervisory responsibilities: you will work under close supervision, receiving detailed instructions and frequent performance monitoring. You will report to the Senior Administrative Officer.

Day-to-day responsibilities

• Manage the reception area and serve as the first point of contact for visitors and external parties: welcome and direct visitors, notify the appropriate staff member, answer, screen, and forward telephone calls.
• Ensure the reception area remains professional and organized; coordinate visitor access, deliveries, and other front-office matters with Administration, Facilities, and Security.
• Support travel and meeting logistics: hotel bookings, transport arrangements, meeting room reservations, and catering coordination.
• Support staff travel procedures: coordination of travel authorizations (TA) and tracking the submission of travel expense reports.
• Maintain office operations: equipment, supply inventories, and routine maintenance; support low-value procurement under the guidance of senior administration.
• Support procurement documentation: obtain quotes, complete procurement documentation, and maintain files in compliance with FHI 360 requirements.
• Receive and distribute mail, including courier packages; perform data entry, proofread texts, and compile special reports.
• Oversee physical record custody in accordance with FHI 360 policies and local regulations.
• Perform other duties assigned by the Senior Administrative Officer or designated supervisor.
