Who we are looking for

You will be the administrative hub of your department: it is your ability to keep things organised that allows the managers' and technicians' teams to work without friction. The area is constantly busy — documents, visits, deadlines — and everything passes through your desk before it reaches the managers.

We are looking for a person with proven experience in secretarial and administrative support, rigorous with deadlines, comfortable with the Office suite and confident dealing with people — colleagues, visitors, clients and contractors — every single day. This is not a role for someone looking for an unchanging routine: the job asks you to follow procedures, propose improvements and keep databases and files well organised.

Day-to-day responsibilities

• Provide administrative and secretarial services to the team, ensuring effective and efficient operations in the department;
• Manage the general administration of the area, acting as the team's reference for working methods and task efficiency;
• Prepare documents and reports, compile records, and organise and maintain physical and electronic files;
• Greet, refer and assist visitors, clients, staff and other stakeholders, and support the dissemination of the area's information;
• Sort and distribute incoming mail, and organise and send outgoing correspondence;
• Use Microsoft Word, Outlook, PowerPoint, Excel and Access to produce correspondence and maintain presentations, spreadsheets and databases;
• Develop and maintain an efficient physical filing system whenever the team needs it;
• Print, fax and scan relevant documents, such as travel forms;
• Complete the company's forms according to established procedures and attach the right files to incoming correspondence that requires a reply;
• Resolve immediate short-term issues by applying established procedures and delivering within the required deadlines and standards.
